Terms & Cancellation Policy

Registration & fees

Fee: €225 + VAT (IVA) per attendee.

The fee includes breakfast and lunch on both days and the networking dinner on Thursday, 29 January, plus coffee breaks and conference materials.

Travel, accommodation, visas, and insurance are not included.

Payment & invoices

An invoice will be issued to the billing contact provided.

Payment is due within 14 calendar days of the invoice date unless otherwise stated.

Your place is confirmed upon receipt of payment. If unpaid after the due date, SURLABS may release the seat.

Substitutions

Free substitutions from the same organization are allowed at any time before the event. Please email info@surlabs.com.

Cancellations by attendee

To request a cancellation, email info@surlabs.com. Refunds are based on the email timestamp (Europe/Madrid time):

• On or before 15 December 2025: 100% refund minus a €20 admin fee.
• 16 December 2025 – 12 January 2026: 50% refund.
• On or after 13 January 2026, or no-show: no refund.

Refunds are processed to the original payer within 30 days of approval.

Visa denials

If you require a visa and your application is formally denied, we will provide a 100% refund (minus €20 admin fee) upon receiving official proof no later than 12 January 2026. After this date, the standard policy applies.

Event changes, postponement, or cancellation

SURLABS may make minor program or speaker changes without notice.

If the event is postponed or cancelled (including due to force majeure), registered attendees may choose between:

• a full refund of the registration fee, or
• a credit/transfer to a rescheduled or future edition.

SURLABS is not liable for any indirect costs (e.g., travel or accommodation).

Force majeure

SURLABS is not responsible for failure or delay due to events beyond reasonable control (e.g., extreme weather, strikes, public health emergencies, power outages, transport disruption, government action).

Health, safety & venue rules

Attendees must follow all applicable laws and venue policies, including safety instructions from staff. Organizers may refuse admission or remove any person not complying with the Code of Conduct or safety rules, without refund.

Media & recordings

We may capture non-intrusive event photos or short clips. We will only use identifiable images of you if you have provided explicit consent during registration or on site. You may withdraw consent at any time via info@surlabs.com.

Data protection

Personal data is processed in accordance with our Privacy Notice (see above). By registering, you acknowledge that we will process your information to manage your participation and deliver the event.

Intellectual property

All session materials remain the property of their respective authors and/or institutions. Recording or redistribution of content may require prior permission.

Governing law & jurisdiction

These Terms are governed by Spanish law. Any disputes shall be subject to the courts of Sevilla, Spain, without prejudice to mandatory consumer protections.
